Arts in Alternative Education
Application Preview

For your convenience, the Oklahoma Arts Council has provided a “preview” of the Arts in Alternative Education Application. Please remember that to actually submit an application or a final report, applicants must login to the e-grant system. Applicants are eligible for one project per year.

DEADLINE: May 1st

  • for projects that take place during the First Semester ONLY, OR
  • for projects that take place during the Second semester ONLY OR
  • for Projects that span the entire school year

DEADLINE: December 1st

  • for projects that take place during the Second Semester ONLY

Part 1- Organizational Profile
Remember to update (if needed) organization information & contact information AFTER logging in to the e-grant system

Part 2 - Project(s) Information
The application requires specific project information in addition to the organizational information.

General Project Information

  • Are you a new applicant? If so, please contact the Oklahoma Arts Council prior to submitting your completed application for technical assistance.

List the following information for your project:

  • Title
  • Beginning Date
  • Ending Date
  • Actual dates or date ranges of activities (These dates will be used to schedule site visits if applicable.)
  • Your organization's key personnel with contact phone number(s)
  • Estimate total number of individuals directly involved as artists, non-artist project participants or audience members
  • Estimate total number of youth (under18) benefiting directly from the project
  • Estimate total number of artists directly involved in providing art or artistic services.
  • Artists involved also on the Oklahoma Arts Council's Artist in Residence Roster
  • Artists involved also on the Oklahoma Arts Council's Oklahoma Touring Roster
  • Estimate number of volunteers directly involved
  • Number of community partners involved
  • Name(s) of community partners and the type of partnership (for example: financial, in-kind, planning, site, etc.)

Project Narratives
Remember that each narrative response is limited to 4000 characters. We strongly recommend formulating your response in a word processing program which will allow spell check and character counts. After proofing your response, cut and paste the responses into the required e-grant application narratives. DO NOT use bullets, underlining, italics etc., as this adds to the overall character count total.

  • List the artists, their specified arts discipline, and their hourly fee
  • List number of hours of instruction each individual artist will provide per student
  • Estimate the total number of students directly receiving instruction
  • List the name and address of the School District that this project serves

Project Design

  • Provide a brief description of the overall arts program including specific experiences and project activities.
  • Describe the specific goals and objectives for student learning outcomes.

Project Evaluation

  • List methods of measurement used to evaluate the learning process of the students. Discuss how the results of the assessment will be utilized.

Project Budget

  1. Enter the dollar amount for Artist Fees
  2. Enter the cost of Materials and Supplies (not to exceed 25% of the total cost of the project)
  3. Cost of Transportation for Students
  4. List names of artists and total relocation assistance per artist
  5. Total Relocation Expense: (Enter the total from items listed in number 4 above.)
  6. List other expenses, itemize each item with the corresponding dollar amount.
  7. Enter the total dollar amount of all items listed in number 5 above.
  8. For the purpose of this preview only, please add budget items 1-3 and 5 and 7. This is the total cost of your project.
  9. Enter the amount requested from the Oklahoma Arts Council.  Applicants may request up to $5000 for projects, not to exceed the total cost of your project.

Application Support Materials
Contents and Instructions: Mail hard copy of support materials postmarked no later than date of e-grant submission and by the published deadline

  • Include biographies of each artist to be involved within the program
  • Include signed contracts/ letters of commitment from the artists

Please note: Successful applicants will be required to complete an on-line final report (see preview) at the conclusion of their project in order to receive grant funding. In addition hard copy support material for the final report must be mailed and consist of the following:

Final Report Support Materials
Mail hard copy of support materials upon completion of the project, postmarked no later than the date of the electronic final report submission.

  • Sign-in or time sheet for each teaching artist, designating dates and number of hours of instruction provided (See samples on the e-grant site under support materials)
  • Evaluations on each artist providing instruction (See samples on the e-grant site under support materials)
  • Documentation of the project including brochures, anthologies, photos of project/event (digital is preferred) with signed releases permitting OAC to make use of the photos
  • Program expenditure report from your school's or district's business office
