LEGAL SECRETARY, #E25

BASIC PURPOSE:

Positions in this job family are assigned responsibilities for providing secretarial and administrative support to attorneys.

LEVEL DESCRIPTORS:

The Legal Secretary job family consists of three levels which are distinguished by the complexity of the job assignments, the extent of the responsibilities and duties assigned, the level of expertise required for the completion of assigned tasks, and the responsibility for the leadership of others.

LEVEL I            Code: E25A            Salary Band: G

This is the basic level where employees will be expected to perform only the most routine tasks. Employees will be expected to gain in-depth knowledge of the program of services being offered.

Knowledge, Skills, and Abilities required at this level include knowledge of business English; of computer operations; of basic legal terms and definitions; of business arithmetic; of office practices; and of complex records maintenance. Skill is required to type accurately from plain copy at a rate of fifty words per minute; and to operate standard office equipment. Ability is required to correct rough copy; to handle confidential work with tact and discretion; to make routine decisions in accordance with agency policy; to deal tactfully with the public; to establish and maintain effective working relationships with others; to follow oral and written instructions; and to communicate effectively, both orally and in writing.

Education and Experience requirements at this level consist of three years of experience performing a variety of complex clerical and typing work; or an equivalent combination of education and experience.

LEVEL II            Code: E25B            Salary Band: H

This is the career level where employees will be expected to perform duties at all levels of complexity.

Knowledge, Skills, and Abilities required at this level include knowledge of guidelines related to the preparation and filing of various legal documents and forms; of business communications; of trial and court procedures; of law office practices; of legal terms and definitions; of business English and office procedures; of business arithmetic; of training principles and practices; and of public relations. Ability is required to establish effective working relationships with others; to type accurately from plain copy at a rate of fifty words per minute; to prepare complex legal documents and forms; to deal with the public; to handle confidential work with tact and discretion; to exercise judgment in interpreting and applying rules or policy; to follow oral and written instructions; to operate standard office equipment; and to communicate effectively, both orally and in writing.

Education and Experience requirements at this level consist of those identified in Level I plus one year of experience as a legal secretary; or an equivalent combination of education and experience.

LEVEL III            Code: E25C            Salary Band: I

This is the specialist level where employees will be expected to perform duties at all levels of complexity and may also train lower level employees. Employees will develop or assist in developing operations and procedures which ensure that files are tracked and deadlines met.

Knowledge, Skills, and Abilities required at this level include knowledge of guidelines for the preparation and filing of legal documents; of business communications; of trial and court procedures; of references used in legal research and writing; of legal terms and definitions of modern office procedures; of public relations. Ability is required to type accurately from plain copy at a rate of fifty words per minute; to prepare complex legal documents and forms; to deal with the public; to exercise judgment in interpreting and applying rules, laws and policies concerning the preparation and filing of legal documents; to handle confidential work with tact and discretion; to communicate effectively, both orally and in writing; to establish effective working relationships with others and utilize advanced computer skills which enable the individual to create, update and revise databases used to track the status and deadlines associated with legal files.

Education and Experience requirements at this level consist of those identified in Level II plus one additional year of experience as a legal secretary; or an equivalent combination of education and experience.

Level IV            Code: E25D            Salary Band: J

This is the leadership level where employees will be expected to perform duties at all levels of complexity. Employees will serve as a first level supervisor; plan day-to-day operations of assigned staff; and develop or assist in developing operations, policies and procedures.

Knowledge, Skills, and Abilities required at this level include knowledge of guidelines for the preparation and filing of legal documents; of business communications; of trial and court procedures; of references used in legal research and writing; of legal terms and definitions of modern office procedures; of public relations; and of supervisory principles and practices. Ability is required to supervise the work of others; to type accurately from plain copy at a rate of fifty words per minute; to prepare complex legal documents and forms; to deal with the public; to exercise judgment in interpreting and applying rules, laws and policies concerning the preparation and filing of legal documents; to handle confidential work with tact and discretion; to communicate effectively, both orally and in writing; and to establish effective working relationships with others and utilize advanced computer skills which enable the individual to create, update and revise databases used to track the status and deadlines associated with legal files.
