INSURANCE BOARD EXECUTIVE ASSISTANT
Positions in this job family are assigned responsibilities for serving as administrative liaison and Board secretary for the State and Education Employees Group Insurance Board and the Advisory Council to the Board.
The functions within this job family will vary, but may include the following:
- Plans, organizes and coordinates Board and Council meetings; advises and directs agency staff in preparing information and materials for consideration by the Board.
- Advises Board and Council members and agency staff on procedures and statutory requirements; ensures compliance with the Open Meeting Act; notifies Secretary of State, Board and Council members, the Governor's Office, members of the legislature and other agencies of scheduled meetings of the Board, Council and all Subcommittees.
- Conducts roll call votes at Board and Advisory Council meetings; prepares synopsis of Board and Council proceedings for signature by the Chairman of the Board and the administrator of the agency; maintains required records and files.
- Develops and prepares agenda for Board and Council meetings; prepares call for agenda items to be sent to all members and staff members; researches minutes of previous meetings to identify specific requests from Board members and ensures responses are prepared.
- Reviews inquiries from members of the legislature and plan participants concerning benefits, problems and other matters; coordinates the preparation of appropriate responses by responsible staff; initiates replies concerning actions of the Board as needed.
- Tracks proposed legislation pertaining to the agency; coordinates staff review and preparation of agency responses; interacts with legislative staff to provide information on plan benefits, statistical information and other agency data.

The Insurance Board Executive Assistant job family consists of only one level and the position is responsible for performing all functions of the position.
Knowledge, Skills and Abilities required at this level include knowledge of the functions and operations of the State and Education Employees Group Insurance Board; of state laws concerning open meetings and administrative procedures; of the legislative process; and of business communications. Ability is required to plan, organize and coordinate Board and Council meetings; to communicate agency policies and procedures; to analyze and interpret legislation; to establish and maintain effective working relationships with others; and to communicate effectively, both orally and in writing.
Education and Experience requirements at this level consist of five years of technical clerical work; or an equivalent combination of education and experience.
