Go Gov! Updates


Form Builder  FORM BUILDER Phase 2 Updates are now available!

You asked for it, and we listened.  We are excited to announce that the "phase 2" round of updates made to our Form Builder Module are now available!

Below is a comprehensive list of features/options that have been incorporated into the Form Builder:

  • The up/down sort functionality has been updated to a “circular sort” so that users can move items to a particular location without having to manipulate the item through the entire list one move at a time.

  • Form questions are now numbered (in edit mode only) so users can easily move items to a specific location.

  • Section divider lines have been added to the "edit form questions" area so that the questions are more pleasing to the eye.

  • The “Multi-Line” text field maximum character limit has been increased from 100 to 1000 characters.

  • State, County, Country and State Agency drop-down list option has been added to the question types.

  • We've added a new “Signature” field question type option.

  • Sensitive Data can now be collected, and a new pre-set Social Security Number (SSN) field with validation has been added to the data type.  To select this field, you must mask the data.

  • All submitted data is now encrypted.

  • A "unique identification number" feature has been added to the “form properties” area.  The unique ID is populated by the system and will be the same for all submissions for that one particular form.

  • A “Return Link Title” field has been added and we've extended the return link's URL max character limit to 500.

  • Multiple email addresses can now be entered in the email notification area.

  • Submitted data can now be incorporated into the body content of the notification email received when a user submits a form.

  • Users can now control the notification email received when a user submits a form by determining how often they will want to be notified when users submits a form.

  • The “edit form properties” function has been modified so that user can edit their form's properties and bypass the new approval process. Users can now click on the form title to edit the form's properties and select the “pencil” icon to edit the form’s questions.

  • Users now have added submission options so that they can allow their form to be printed, submitted, and/or downloaded as a PDF file. 

  •  We've provided users with a resource link to the PCI best practices on how to manage sensitive data on a PC.

  • A verification code utility has been incorporated in an effort to help reduce the amount of bogus submissions.

  • We've made an update so that users cannot reply to the notification emails they receive.
     
  • An “approval process” for all forms has been created to improve security standards to ensure that sensitive data is encrypted and that the forms are being used in compliance.  Now non-admin users must have their form approved by an admin user of the account before the form can be posted, and any user who collect sensitive information will be required to have their form approved by OK.gov.  If it is determined that a user is not following , they risk losing the option to post their form and/or access to the Form Builder module. A “Flagging” system  has been put into place to provide a visual of forms' approval status. 
    • Green Flag = Approved
    • Red Flag = Pending Approval
    • Black Flag = Denied

  • Admin users will now be required to approve all forms created in the account.  Previously created forms will be automatically approved until the form's questions are edited.

  • Each time a form’s questions are edited, it will be required to go through the approval process again.

  • All forms that collect sensitive data (such as SSNs) will be required to go through the OK.gov approval process before the form can be posted. (This rule applies to all users who create forms.)  You can expect up to 24 hours for OK.gov to approve a form.

  • Financial information (such as bank account number) cannot be collected at any time.  If a form has any “blacklisted” words on their form, the form will be flagged for OK.gov approval.

  • Once a form is required to go through the OK.gov approval process, it will be required to go through the approval process again for each instance of form questions being edited.

  • If a form is denied approval for any reason (either by an admin user or by OK.gov), the user will not be able to post the form.

  • If the status of the form is updated in any way (approved, pending, denied), then the listed notification email address(es) will receive an email stating the status change.
