Wiki

Service Description

The Communities of Practice wiki is a collaborative platform maintained by the Office of State Finance (OSF) Information Services Division (ISD) that may be used in a secure environment to freely create and edit web page content using any web browser. The underlying technology is the Confluence wiki. Wikis support hyperlinks and have a simple syntax for creating new pages and cross links between internal pages.

Only people with approved access by a Community Owner and who have a State approved username and password may edit pages on this service. Community owners may not allow anonymous write permission to any community on the server.

The State of Oklahoma Communities of Practice wiki resides at http://wiki.ok.gov.

Customer Benefits

Because OSF hosts this platform, there is no software or hardware for the agency to support. In addition, the Confluence wiki offers the following key functionality:

  • Role-Based Security – Access and permissions restrict who can participate in a community and the level of collaboration
  • Community Dashboard – Central location from which community users may access any main page of content and other features of the community
  • Hierarchical Structure – While not a true directory driven platform, a community may be organized in hierarchical structure of pages making it easy to group types of content
  • Search – Community-wide search capabilities for content and community members
  • Threaded Discussions – Standard message board features allowing for creation of threaded discussion topics, which can include comments, documents and images
  • Calendar – Create community calendar
  • Document Management – Limited document management functions such as version control and check-in/check-out
  • Blog – Blog template, archive, tags and commenting functionality
  • Labels – Keyword or tagging functionality used to facilitate search of content within the blog
  • Analytics – Usage and editing statistics at the community level
  • Personal Space – Location where individual user can track activity within approved communities
  • RSS Feeds – Create RSS feeds for pages, blog posts, mail, comments, attachments or all content within a community

Customer Market

This service is available for all Oklahoma state agencies, offices, officers, bureaus, boards, commissions, counsels, units, divisions, bodies, authorities, or institutions of the executive, legislative or judicial branches of state government.     

Customer Responsibilities

  • Establish a business purpose and name for a Community of Practice
  • Request the creation of a community wiki space
  • Assign an owner for the community of practice
  • Determine the initial structure and functionality of the community
  • Define the content to be posted within the community
  • Screen for sensitive content – while the wiki and its communities are a secure environment, customers should not post sensitive information, including but not limited to personally identifiable information (PII)
  • Ensure community members remain in compliance with policies governing the creation and use of the community

How Do We Charge?

There is no charge for creating a Community of Practice wiki space, provided the community is one of the central OSF business functions. If the community is not one of the central business functions, the organization or agency serving as the owner of the community will be charged an annual service fee to cover the cost hardware, software, support and maintenance of the community.

Service Hours: 24 x 7, excluding planned outages, maintenance windows and unavoidable events

Maintenance Window: Maintenance windows are used only when needed for planned changes that have gone through the ITS Change Management Process. In addition to the Standard ITS Maintenance Windows, site-specific and service-specific changes may be coordinated with customers at non-standard times.

The current planned maintenance window is bi-weekly on Tuesday nights from 7-10 p.m.
