Base Benefits

Service Description

Base Benefits is an integrated solution system providing structure for State agencies giving the ability to define, manage, calculate charges (employee and employer shares) in tracking employee benefits such as Health, Life, Retirement, and Leave (annual and sick). Base Benefits is part of the PeopleSoft ERP Solutions database integrating with other modules including, but not limited to, Payroll (PY), Financials(FS), and Business Intelligence (BI). The system also allows detailed tracking of employee dependent information. Through  Base Benefits, state users have access to online real-time information, allowing upper management to make informed decisions regarding items such as fiscal year Employer Cost Analysis, Leave Tracking, Accrual Processing, etc.

Customer Benefits

  • Gives ability o define multiple types of health and retirement benefit plans and specific attributes regarding calculation of employee and employer shares
  • Provides functionality for associating vendors with specific benefit plans that is used during the voucher build process in Accounts Payable
  • Provides flexibility in processing accrual calculations based on various levels of years-of-service
  • Provides functionality for tracking and reporting of leave balances
  • Meets state and federal regulatory requirements
  • Provides structured detailed data for third-party reporting

Customer Market

This service is available for all Oklahoma state agencies, offices, officers, bureaus, boards, commissions, counsels, units, divisions, bodies, authorities, or institutions of the executive, legislative, or judicial branches of state government.   It is also available to counties, municipalities, townships, Tribal governments, and other political subdivisions.    

Customer Responsibilities

  • Keep transactional information up-to-date
  • Attend required training to receive an ID to access the system
  • Work with CORE team to configure various plans and their attributes while meeting agency and state requirements
  • Engage in module testing
  • Document agency business processes related to administration of employee data

How Do We Charge?

There are no additional charges associated with this module. Benefit plans and attributes are statewide meeting multiple agency requirements.

Service Hours: 24 x 7, excluding planned outages, maintenance windows and unavoidable events

Maintenance Window: Maintenance windows are used only when needed for planned changes that have gone through the ITS Change Management Process. In addition to the Standard ITS Maintenance Windows, site-specific and service-specific changes may be coordinated with customers at non-standard times.

The current planned maintenance window is from 4 a.m.-noon Sunday.
