Archiving Schedule for PeopleSoft Financials

The chart below identifies the schedule for archiving PeopleSoft General Ledger, Payables, and Purchasing transactions. The following rules and considerations were incorporated into the archiving schedule:

• GL data is archived by Fiscal Year - all transactions within a single fiscal year will be processed within the same archive request.
• 3 full fiscal years of GL data will be retained in the production database. GL transactions from fiscal years 2003, 2004, and 2005 are currently eligible for archiving.
• AP and PO are archived based on a specific Run Date – all transactions that meet the archiving criteria (i.e. closed POs, paid/posted/deleted vouchers) processed prior to the Run Date will be included within a single archive request.
• AP and PO transactions will be processed in quarterly increments – due to the volume of data in these transaction table, the data will be archived based on fiscal quarters (not by fiscal year).
• 39 months of payment information must be retained in the production database. Payables and Purchasing data will be archived simultaneously in order to simplify the archiving schedule. AP and PO transactions through Sept. 30, 2005 are currently eligible for archiving.
• AP archiving has been delayed until the third quarter of 2009. Once the timeframe has been determined, the following table will be updated to include the AP archiving schedule.
