Arts in Alternative Education Guidelines

Purpose of Arts in Alternative Education Program
The Arts in Alternative Education program provides funds to assist with hands-on instruction and participation in the arts in Alternative Education programs in public schools in Oklahoma. The program is offered through a partnership of the Oklahoma Arts Council and the State Department of Education and is designed to motivate students whose needs are not met by traditional educational services.

Deadline
Arts in Alternative Education applications may be submitted either by May 1st for a Full year project or by December 1st for second semester projects.

Who is eligible for the program?
Arts in Alternative Education grants are ONLY available to school districts for Alternative Education Programs working in cooperation with the Oklahoma State Department of Education. Funds may also support professional development in the arts and may include site visits to other alternative education programs with effective arts education components. Networking of curriculum ideas and teaching strategies among alternative education staff involved in the arts is encouraged.

What can be funded?

  • Costs associated with providing arts instruction and experience in the arts, including artists, arts educators, consultants, or other arts resources
  • Teaching resource materials
  • Arts-related field trips for students in the alternative education program

What cannot be funded?

  • Capital improvements, including landscaping
  • Equipment, including computers, software, cameras and/or arts related hardware
  • Entertainment costs, such as food or beverages
  • Awards such as ribbons, trophies, plaques, etc.
  • Travel outside the state of Oklahoma
  • Deficits and debts incurred from past activities
  • Fund raisers or fund raising expenses
  • Any supplies or project materials not consumed within the time frame and activities of the project
  • General administrative support, or as a substitution for regularly budgeted funds
  • One-day lecture/demonstrations or assembly performances

Application Limitations

  • All programs must end by June 30 of the fiscal year in which the application is made
  • One application per fiscal year per school district or interlocal cooperative may be submitted
  • An application may serve students from multiple sites or one site within a multi-site district

Funding Limitations
Funding is awarded based on a panel review and approved by the Oklahoma Arts Council. The maximum funding a school district may apply for is $5000. No match is required, however, any additional funding associated with the project should be indicated within the final report. Please note:

  • Due to the large number of Alternative Education sites, compliant applications will be awarded on a first-come, first-serve basis.
  • OAC will reimburse for expenditures not to exceed the amount awarded, upon receipt of the Final Report. However, costs associated with the grant are the responsibility of the sponsor at the time services are rendered.

Final Report Payment Guidelines
Final reports submitted 1-30 days after the due date will result in a 15% reduction of the amount paid to the reporting organization.  For instance, if the original award was listed as $2500 and the final report was submitted after the due date, the amount paid by the Oklahoma Arts Council to the organization would be $2125. 

Final reports submitted more than 30 days past the due date will result in cancellation of the grant and no payment of any kind will be made to the organization.
